To handle all incoming mail, fax, telex for the attention of the Senior Sales Managers, Sales Managers/Assistant Sales Managers so that immediate action can be taken.
To handle all incoming telephone calls, reservations requests and necessary arrangements for appointments and follow-up for Senior Sales Managers, Sales Managers and Assistant Sales Managers.
To keep track of the daily movements of the Senior Sales Managers, Sales Manager/Assistant Sales Managers in case of referrals or emergencies.
To type letters, reports, memo, proposals, contracts and special reports. To prepare welcome notes to in-house guests as directed
To prompt and orderly filing, letters, reports and all other correspondences, material etc.
To maintain and keep all files up to date.
To prepare sales kits for some hotel inspections.
To assist in mailings and special projects.
To perform other related duties appropriate to status as assigned.
Communications
To closely assist Proactive Sales to follow up all proposals and close sales on behalf on Proactive Sales.
To closely coordinate with hotel departments in smooth arrangement of accommodations, catering services, special events for booked business.
To disseminate hotel information or general to customers any prospects and keep them fully informed about hotel.
Hotel inspection for any requirement from the customer.

To coordinate and liaise banquet function between the guest and the hotel personal to ensure a successful event..
To record as accurately as possible all information given by the guest on a function sheet and prepare event order.
To follow up details with various departments or outlet concerned on action plan as guest requested to fulfill the event order and issue at least 3 working days before function started except urgent functions.
To inform Banquet Manager or his assistant and all concerned departments for all special requests or changes concerning a function and issue the adjustment sheet.
To maintain a proper record and filing system: reservation, follow up files, record of past events for forecast purposes.
To check daily all boards and directional signs pertaining of banquet and conferences.
To ensure the proper billing of every functions.
To attend banquet briefing and weekly meeting as required.
To call each organizer 48 hours prior to function to finalize the guest guaranteed and any additional requirements.
To check all details required as per function sheet: room set up, wording lettering, 30 minutes prior to the beginning of each function.
Have knowledge of food and beverage.
Know every detail concerning with F&B outlets which might be used.
Have knowledge of the names, capacity, etc. of every function rooms.
Must know the banquet equipment available in the hotel as well as the AV equipments.
Know the set up of table setting, used of cutlery, etc.
To work with Chief artist to ensure that all props are as required by the organizers.
To follow up on any function cancellation and report accordingly.
Know the detail/concept of each function and set up/decorate to suit the function requirement.
Know the selling prices of food and beverage.
Give advice to the customer on the entertainment.
Knowledge of hygiene and safety systems within the hotel.
Consult with Event Mgr / Banquet Manager/Assistant on the occurred problems.
