Position: Human Resource & Administration Manager
Duties and responsibilities:
Hiring
1. Advertise and Recruit for vacancies at the School.
2. Key in the information of the received applications into the computer.
3. File the applications and sort them according the applied positions.
4. Screen and select from the record, the applicants whose qualifications match with the current job vacancy.
5. Contact and make an appointment with the job applicant (s) for an interview.
6. Inform the applicant (s) the result of the interview via phone for the ones whom the school decides to offer a job and via internet (e-mail) for the ones whom the school decides not to hire at this time.
7. Gather and arrange the new hires documents for filling.
8. Conduct new staff/teacher joint evaluation with the School Director or the Assistant Principal (s) after 60, 90 and 115 day of work completion-from date of joining the school.
9. Planning staff/teacher requirement for each year, including renewals/non-renewals of contracts etc.
10. Preparing documents for Visa and Work Permit and applying for permits for the foreign teacher/staff with the concerned Authorities-Teachers Council, Ministry of Education, Ministry of Labour, Immigrations Department and others. Guiding and Counseling foreign teachers/staff on procedures and local regulations.
11. Ensuring the current terms and conditions in the Contract of Employment and staff rules and regulations mentioned in the Staff Handbook are properly implemented and revised/amended if there is a need.
12. Keep abreast of the local Labour laws of Thailand.
13. Ensuring that the part time workers, the Guard (Security Man) and others are doing their job sincerely and responsibly.
14. Conduct random checks on the tasks and responsibility of the Janitors, Maids, Cooks etc. to make sure that norms are set (cleanliness and safety standards) and implemented.
15. Checking work attendance of employees (absence, late attendance).
16. Preparing staff payroll, overtime, allowances.
17. Purchasing office equipment and supplies.
Training
1. Create KPI for all staff and teachers and do the annual joint staff/teacher evaluation
2. Record and update the information of Staff attendance from the Attendance Software and print a monthly report of the staffs attendance
3. Ensure that all staff are doing their assigned duties and responsibilities diligently and in a timely manner
4. Issue Staff Warning Letters as called for based on the Staff Handbook currently in force and amended from time to time to suit the dynamism of the situation The Warning Letter could be for breaching the attendance norms, leave norms and others as considered contravening the current Staff Hand Book or as may be revised in the future.
Developing
1. Coordinate with all related parties for the preparation of staffs related events etc.
2. To create Professional Development plans/trainings for staff and teachers.
3. Organize Monthly All Staff Meetings.
4. Assist the Director in keeping staff/teachers motivated.
5. Ensure the assigned jobs of each person is properly done and monitored.
6. Other tasks as maybe assigned by School Director or the Manger, from time to time.
Administration
1. Ensure that the schools assets are well maintained and adequately utilized.
2. Ensure the functioning of all the furniture and fixtures, electrical items are in working condition and timely action is taken to have the broken items rectified etc.
3. Ensure that there is no abuse or misuse of schools property.
4. Ensure the operations of the school are not disturbed.
5. Schedule maintenance of the Air Conditioners and other machineries which require regular maintenance.
